ABOUT PROFECTUS
Who are Profectus Business Consulting?
Profectus Business Consulting is a Norfolk-based accountancy and business advisory practice supporting individuals, sole traders and owner-managed businesses.
We do more than prepare accounts and tax returns. We work alongside you to understand your business, keep your finances on track and help you make informed decisions about the future.
Whether you need help with day-to-day bookkeeping, year-end accounts or ongoing financial direction, we provide practical, personal support tailored to your business.
What makes Profectus different from other accountants?
We believe your accountant should be part of your team, not just someone you hear from once a year when your accounts are due.
We take the time to understand how your business operates, explain your numbers in plain English and provide proactive advice to help you plan ahead.
Our approach combines reliable accounting and tax compliance with practical commercial insight, giving you greater clarity, confidence and control over your finances.
Who do you work with?
We primarily work with sole traders, contractors, landlords and small to medium-sized owner-managed businesses.
We have experience supporting businesses across a range of sectors, including construction, property, trades and professional services.
Whether you are just starting out, managing an established business or looking to take your business to the next level, we can tailor our support to suit your needs.
Where are you based, and do you work remotely?
We are based in Swaffham, Norfolk, and work with businesses across Norfolk and the surrounding areas.
We combine personal, face-to-face support with modern cloud accounting technology, allowing us to work with clients both locally and further afield.
Wherever you are based, our aim is to make working with your accountant straightforward, accessible and convenient.
Accounts, tax and bookkeeping
What accounting services do you offer?
We provide a range of accounting, tax and business advisory services, including:
- Bookkeeping and cloud accounting support.
- Annual accounts and corporation tax returns.
- Self-assessment tax returns.
- VAT returns and Making Tax Digital support.
- Payroll and CIS services.
- Management accounts, budgeting and cashflow forecasting.
- Fractional Finance Director and business advisory services.
Our services can be provided individually or combined into a package that supports your business as it grows.
Do I need to use Xero, Quickbooks or another accounting software?
We work with cloud accounting software to help keep your financial records accurate, organised and up to date.
We can help you choose the right software for your business, set it up and show you how to use it. If you already use an accounting package, we can review your current arrangements and help you get more from it.
The aim is to reduce unnecessary paperwork, save you time and give you better visibility of your finances.
Can you take over from my existing accountant?
Absolutely. Changing accountants is usually much more straightforward than people expect.
With your permission, we will contact your existing accountant to arrange the professional handover and obtain the relevant records and information.
We will then review your current position, identify any outstanding work and agree a clear plan for moving forward.
We aim to make the process as smooth as possible, with minimal disruption to your business.
Can you help if my bookkeeping is behind or my accounts are in a mess?
Yes. We understand that running a business can take priority over keeping the books up to date.
We can review your existing records, work through outstanding bookkeeping and help bring your accounts back into order.
Once everything is up to date, we can agree a practical process to keep your records organised and help prevent the same issues from building up again.
We will assess the work involved before agreeing the scope and cost, so you know what to expect.
Working with us
How much do your accountancy services cost?
Our fees depend on the size and complexity of your business, the services you require and the level of support you need.
Wherever possible, we agree a clear fee structure in advance, often through a monthly package, so you know what you are paying and can budget accordingly.
We will discuss your requirements, understand your business and provide a proposal setting out the services included and the associated fees.
Our focus is on providing value through accurate accounts, practical advice and ongoing support, rather than simply completing a compliance exercise.
What happens when I first get in touch?
We start with an informal conversation to understand you, your business and what you are looking for from an accountant.
We will discuss your current arrangements, any challenges you are facing and where you would like your business to be in the future.
From there, we can recommend the services and level of support that best suit your needs and provide a clear proposal for moving forward.
There is no obligation to proceed following an initial conversation.
Will I have a dedicated accountant?
Yes. We believe personal relationships are central to providing a good accountancy service.
You will have a direct point of contact who understands your business and your circumstances.
As your business grows, our team can provide additional support across bookkeeping, accounts and payroll, while maintaining the personal service and continuity you expect.
Can I contact you during the year, or only when my accounts are due?
Of course. We encourage regular communication throughout the year.
We want you to feel comfortable getting in touch when you have a question, are considering a business decision or need help understanding your figures.
Depending on your service package, we can agree regular meetings and review points to discuss your financial performance, upcoming tax liabilities and plans for the future.
Our aim is to deal with issues proactively rather than waiting until the year-end accounts are prepared.
Business growth and financial advice
Can you help me understand how profitable my business really is?
Yes. Your bank balance only tells part of the story.
We can help you understand your revenue, costs, margins, overheads and profitability, giving you a clearer picture of how your business is performing.
Through management accounts and regular financial reviews, we can help identify trends, highlight areas for improvement and give you the information you need to make informed decisions.
What are management accounts, and does my business need them?
Management accounts provide regular financial information about how your business is performing, rather than waiting until the end of the financial year.
They can include profit and loss reports, balance sheets, cashflow information and comparisons against budgets or previous periods.
They are particularly useful for growing businesses that want to understand their margins, control costs, monitor performance and plan ahead.
We can tailor the reports and frequency to suit your business, whether you need a simple monthly overview or a more detailed financial review.
Can you help me forecast cashflow and plan for the future?
Yes. Cashflow forecasting helps you understand when money is expected to come into and leave your business.
We can prepare forecasts that take account of expected sales, expenses, tax payments, wages, finance commitments and planned investment.
This can help you anticipate quieter periods, plan for VAT and tax liabilities, consider recruitment and understand whether your business can afford its next stage of growth.
What is a fractional Finance Director?
A fractional Finance Director provides the financial leadership and commercial insight of a Finance Director without the cost of employing one full-time.
We work alongside you and your team to understand your business, review financial performance, develop budgets and forecasts, and support important commercial decisions.
This can include pricing, profitability, investment, recruitment, business growth and strategic planning.
It is particularly valuable for businesses that have outgrown basic bookkeeping and annual accounts but do not yet need a full-time Finance Director.
At what stage should I consider a Finance Director?
You may benefit from financial direction when your business is growing, your decisions are becoming more complex or you no longer have the time or information to understand your numbers properly.
Perhaps turnover is increasing but profits are not, cashflow is becoming difficult to manage, or you are considering taking on staff, purchasing assets or expanding.
We can help you establish the financial foundations first and introduce more detailed management information and advisory support as your business develops.
Tax, VAT and payroll
Can you help me with VAT registration and returns?
Yes. We can advise on VAT registration, help you understand which VAT scheme may be appropriate and prepare and submit your VAT returns.
We can also review your bookkeeping processes to help ensure your records meet Making Tax Digital requirements and that VAT is accounted for correctly.
If you are approaching the VAT registration threshold or are unsure whether you need to register, we can help you understand your obligations and available options.
Do you provide payroll and CIS services?
Yes. We provide payroll services for businesses employing staff, including payslips, PAYE reporting and pension-related payroll administration.
We also support construction businesses and contractors with the Construction Industry Scheme (CIS), including subcontractor verification, monthly CIS returns and deduction calculations.
We can help you understand your responsibilities as an employer or contractor and keep your payroll and CIS reporting up to date.
Can you help me reduce my tax bill?
We can review your circumstances and advise on legitimate tax planning opportunities relevant to you and your business.
This may include the most appropriate way to extract profits, pension contributions, business expenses, capital allowances and planning for future tax liabilities.
Our approach is to help you understand your options and make informed decisions within the tax rules, while ensuring your reporting obligations are met.
Can you help me prepare for Making Tax Digital?
Yes. We can help you understand how Making Tax Digital applies to your business, what records you need to maintain and which software may be suitable.
We can also help with software setup, digital record keeping and the ongoing submission of relevant returns.
If you are unsure when the requirements apply to you, we can review your circumstances and explain the steps you need to take.
